The Features of Office Automation (OA)

Office Automation Systems can be characterized by their repetitive nature. These systems are short-terms and input-output oriented systems. Some of the workers of office automation systems are clerks, secretaries, typists, administrative assistants and account operators. Typical office systems coordinate divers’ information workers, geographic units and functional areas. Word processing, document image and desktop publishing systems come under OAS. Office automation systems produce corporate database and management documents.

OAS objective is to create the technology driven environment in an organization and it provides individuals effective ways to process personal and organizational data, perform calculations, and create documents. They are used for increasing productivity and reducing paper work by processing major work electronically.

Examples of OA Applications

Office Automation System Includes:

1. Word Processing: It is the use of an electronic device that automatically performs many of the tasks necessary to create written documents such as letters, memos and reports that are directed to the managers.

2. Electronic Mail: popularly known as E-mail, is the use of a networked computer that allows users to send, store and receive messages using the computer’s terminals and storage devices. It sends mail electronically from one computer to other.

3. Voice Mail: is just like electronic mail and performs storing, accessing, retrieving and distributing messages using the telephone.

4. Electronic Calendaring: It is the use of a networked computer to store and retrieve manager’s appointment calendar.

5. Audio Conferencing: Is the use of voice communication equipment to establish an audio link among geographically dispersed persons for conducting a conference. The conference call, which allows more than two people to participate in a telephone conversation, was the first form of audio conferencing and is still in use.
