Which 2 tools of quality would you use on a project? How would you use the tools you selected?

The first tool I would use on a project would be a flow chart. The use of a flow chart seems to be visually stimulating to most people and is usually easy to understand and follow. When a well thought out flowchart is created it also seems to keep a readers' attention longer than that of a large block of text. The flowchart is also useful for creating process documentation and leaving detailed work instructions for the project.

The second tool I would use would be a check sheet. The basic function of the check sheet is to gather important information to help monitor and improve the quality of the project. The design of the check sheet allows the user to gain an insight into the process and know what is working. The check sheet also provides information about opportunities for improvement. If one is designing a FAQ section for a company, a check sheet could be very valuable in deciding what questions and topics to include in the FAQ section.

Most managers would agree that there are distinct advantages to the telephone and the traditional letter depending on what the situation entails. A careful analysis of the situation is required to ensure that the most effective technique is used.

The advantages of the telephone include:

* Speed

* Immediate feedback

* Lower cost

* Minimal time consumed

However; use of the telephone also has its disadvantages including: the incapacity to file the conversation for future reference and the inability to know if you are disturbing the receiver at a busy time during the day.

The advantages of the business letters include:

* Hard copy is available

* Future reference is available

* Enclosures can be included

* It can be circulated to other people who need to be involved

* The letter can be read when convenient

All of the above advantages and disadvantages must be considered when strategically determining the most effective communication tool. The greatest mistake may be to communicate via the most "convenient" media without considering the alternatives available.
